IT asset management supports the business processes that manage the life cycle of hardware assets across an organisation. That definition is uncontroversial. What varies enormously is how much manual work a given tool demands before it produces anything useful.
Older tools require people to perform the data collection and reconciliation by hand. That increases the risk of human error, which produces inaccurate and incomplete data sets — and every decision made on that data inherits the error. Automating discovery and inventory is not a convenience feature. It is what makes the resulting data worth acting on.
Why IT asset management matters
IT now accounts for a growing share of everything an organisation owns. Hardware and software are expensive to buy and costly to keep running, which is the whole reason the discipline exists: to make sure resources are used efficiently in support of what users and business functions actually need.
But asset management is not just discovery and inventory. It is using that data to drive decisions. Concretely, it should let you:
- Enforce compliance with security policies and wider regulatory requirements
- Control the cost of running the IT environment
- Supply reliable hardware data to software asset management
That third point is the one most often underestimated, and we will come back to it.
The IT asset life cycle
Assets have a finite useful life. To get the most out of them, ITAM organises activity around life cycle stages. Different models exist, but nearly all of them follow the same five.
Plan
Decisions about what assets are needed, how they will be acquired, how they will be used and how they will be funded. This is the stage most dependent on historical data, and the stage most often done on assumption because the historical data is not trustworthy.
Acquire
Procurement: the act of purchase and receipt of delivery.
Commission
The asset enters the environment. Installation, integration with other systems and components, establishing operations and support processes, provisioning user access.
Maintain
Repair, upgrades, patching and overhauls to maximise value, extend useful life or reduce risk and support cost. This is the longest stage and the one where cost accumulates quietly.
Retire
Eventually hardware stops being useful. Retirement includes migrating users to other assets, cancelling support agreements, ending renewals and planning replacements.
The stages are only useful if you know which one each asset is in. That is an inventory problem, and it is why the quality of discovery determines the quality of everything built on top of it.
IT asset management is data intensive. Many tools on the market lack the automation to support it, so their outputs arrive slowly, incomplete, and at higher cost than they should.

Tracking hardware serves three main objectives:
- Document every device in the organisation
- Know where those devices are at any point in time
- Schedule maintenance and calculate depreciation
Devices are no longer confined to one office or one server room, which is exactly why tracking matters. When an asset needs troubleshooting, it is otherwise very difficult to establish what has happened to it, and there is not enough data available to make a decision. Tracked properly, the asset carries its own history — every change it has been through — and that history is available to whoever needs it.

You can only make informed decisions if you know what assets exist, where they are and what they are used for. With accurate data, you can analyse past purchasing and deployment decisions to guide the next ones, and stop over-buying resources that are not required.

Supporting software asset management
ITAM and SAM go hand in glove. Many traditional SAM tools do not carry hardware data, which leaves incomplete data sets and raises the risk of non-compliance and the financial exposure that follows.
The dependency is concrete rather than philosophical. Server licensing turns on processor type, core count and virtualisation topology. Oracle core factors are applied to specific processors. IBM sub-capacity licensing requires an inventory cycle of no more than 30 minutes. Access control for RDS, Citrix and VDI depends on knowing which devices connect to what. Every one of those is a hardware fact being used to answer a software question.

The value is easiest to see in an ordinary ticket. A user reports a slow laptop. With good asset data surfaced in the service desk tool, the agent immediately sees the owner, model, age, specification, installed software, warranty status and ticket history — and the answer becomes a replacement decision made in seconds rather than a diagnostic session.
